Mystic Family Circus Organization Members' Responsibilities...

Uber-Communicator Responsibilities:

- Manage MFC e-mail account

- Respond to any inquiries or forward to appropriate parties. For people who want to join the circus, a welcoming response is generally what's needed, as well as a recommendation to join one or both of the two email lists by sending a blank email to mfc-family-subscribe@yahoogroups.com, mfc-organization-subscribe@yahoogroups.com (the second one if the person wanting to join the MFC is a performer).
- Forward announcements to appropriate lists:
mfc-organization@yahoogroups.com (for rehearsals, gatherings, or specific messages to performers)
mfc-family@yahoogroups.com (for family events, burning man, etc)
mfc-agency@yahoogroups.com (for gigs)
mfc-luku@yahoogroups.com (for anything related to the core MFC group)

- Keep the email address of the sender in the first line of the message
- Include word (SEEKING, EVENT, CALLOUT, AVAILABLE, ACTIVISM, etc) and the date of the event (if appropriate) in the subject

SEEKING: for messages of people looking for people or appartments or anything similar
CALLOUT or JOB or GIG: for messages that involve a job of some kind (you can also use "PAID" or "UNPAID" also depending on the type of callout)
EVENT: for messages that give information about an upcoming event/party
AVAILABLE: for messages of available appartments for rent or sublet
ACTIVISM: for messages related to any type of activism
SHARING: for messages that are basically people telling the family about themselves or something they are doing
WORKSHOP or CLASS: for messages about upcoming workshops

- Manage MFC mailing list in Yahoo Groups

- Edit/format pending messages (remove extra stuff at the bottom, ads, footers, "> " on each line, etc)
- Include word (SEEKING, EVENT, CALLOUT, AVAILABLE, ACTIVISM, etc) and the date of the event (if appropriate) in the subject

- Change the
email address of the sender from mysticfamilycircus@yahoo.com to what is on the first line of the message, then remove the first line.
- Approve messages appropriately (and try to keep the number of messages on the mfc-family list to no more than 5 per day)

Additional tips:

- When moderating messages, the subject header should be in capitals (this is not critical, but it helps people recognize what the message is about
more easily)
- Sometimes people forward messages to the list and they come in as attachments to the Yahoo Groups. If you approve the message as is, it will basically look empty and people will have to click on the attachment to see what the message is about. This generally makes the messages less interesting to read since it just looks like random things get approved to the list without much care for the audience.
- Somehow we got registered to the Voice4Change email list and I have no idea how to remove us from it. Those messages can be great, but they are very general in nature so we should keep an eye to see if they should be sent to the list or not.
- When an event announcement comes in, it's a great idea to add the date of the event just before the subject. Something like: "EVENT: Dec 19 - Wicked"
- It's generally regarded as less tasteful to forward messages from one list to another list (I've done it sparingly in the past, and often I tried to add a quick message at the top to show why it was forwarded to the list). Same thing about approving messages with large (over 30-40kb) images or attachments, as it tends to fill up people's email box quickly.
- Overall, moderating email list is a balancing act between keeping people informed (or letting information flow as freely as possible), and flooding/spamming people with messages they don't need or want to hear about, all the while pushing the community to stay informed about what is happening in the rest fo the world. It's like juggling, constantly readjusting and moving.
